Square College (“us”, “we”, or “our”) operates the squareinstitute.com website (the “Service”).

This page informs you of our policies regarding the collection, use and disclosure of Personal Information when you use our Service.

We will not use or share your information with anyone except as described in this Privacy Policy.

We use your Personal Information for providing and improving the Service. By using the Service, you agree to the collection and use of information in accordance with this policy. Unless otherwise defined in this Privacy Policy, terms used in this Privacy Policy have the same meanings as in our Terms and Conditions, accessible here.

What personal data we collect and why we collect it

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.


Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Analytics

Our analytics process is controlled by Facebook pixel. It is only monitoring webpage entries via the function of cookies. The data collected falls within these main areas:

Operating type- Android, iPhone or Desktop.

Relative time of entry- When you visited the webpage + a slight delay

Webpage entry- What webpage you went to.

It does not collect anymore information than stated above, for the uses of Square College.

Who we share your data with

Your personal information is not shared to external organisations beyond Square College’s admin office and resources within Square Institute’s digital web domain.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

If you registered for a Square College event, which collects your name and email address, it is important to note that this information was not collected on a user log in basis. It is also important to note that the collected our used only to communicate about our events and services as School. There are clear unsubscribe settings, where your data will immediately be removed from our digital records. We will also get the removal notification and remove your records from our local hard-drive records if necessary.

We will hold any information for 12 months before cleaning out our systems.

What rights you have over your data

If you have an account on this site, have left comments, have registered your child online and or have RSVP’d for an event, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes. Please get in contact at info@squareinstitute.com and we will get back to you within 48hrs.

Where we send your data

We do not send your data beyond our internal systems. It is important to note that your data is used to registration information from our domain, all data collected on this site is used internally for record up-keep and contact-contact communication.

How we protect your data

All data are password protected and you can be rest assured that your data is securely protected and will be used for the stated purpose when it was collected. (Your data is safely kept and protected within the confines of the organisation safe-lock and in the cloud )

We also employ specialist firewall and malware detection and clean out services over our entire web domain for additional security and protection.

What data breach procedures we have in place

In the instance that data protection is breached, you have the absolute right to withdraw/retrieve your data or ask for complete deletion from the data processors in this case the administrator. You can request that we erase any personal data we have about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

What third parties we receive data from

All data received from a third party such as affiliate universities abroad are handled and treated with conditions situated by the subject.

What automated decision making and/or profiling we do with user data

We have no automated data profiling processes at the moment.

Industry regulatory disclosure requirements

All data collected are only released with the permission of the subject and for the purpose it asked for. Disclosures are only made for legal or regulatory disclosure requirements and are subject to the terms and conditions of the confidentiality agreement.

Our website uses plugins from YouTube, which is operated by Google. The operator of the pages is YouTube LLC, 901 Cherry Ave., San Bruno, CA 94066, USA.

If you visit one of our pages featuring a YouTube plugin, a connection to the YouTube servers is established. Here the YouTube server is informed about which of our pages you have visited.

If you’re logged in to your YouTube account, YouTube allows you to associate your browsing behavior directly with your personal profile. You can prevent this by logging out of your YouTube account.

Google web fonts

For uniform representation of fonts, this page uses web fonts provided by Google. When you open a page, your browser loads the required web fonts into your browser cache to display texts and fonts correctly.

  • Attendees information (RSVPs and Tickets): name and email address
  • Ticket information (RSVPs and Tickets): name, email address, and ticket number/SKU (via check-in page)
  • Ticket purchaser information: name and email address
